Legacy Matters Welcome Program - Lesson 3

LEGACY MATTERS WECOME PROGRAM CERTIFICATION LESSON-3

Conducting the interview

Ideally, use a laptop with wireless connection or the facility's computer with a built-in or external plug-in microphone, or with an iPad and LegacyStories app. This is the quickest and simplest process. This way it's just a matter of recording directly to the slide from the computer rather than having to use a digitial voice recorder and working with file transfers, uploads, etc.

Using a digital recorder or iPad app places the Talking Photos in the My Audio section of the website and not in the Photos Slideshow section.

The initial Legacy Matters Program process should involve:

  • Scanning the resident's 5 vintage photos and uploading them to his or her profile
    • The iPad will take a picture of the picture and record the voice all at once and upload offsite to the resident's My Audios section of their profile
  •  Recording the resident's oral narrative descriptions of the photos
  • If using the slide show method, download the recording after saving by clicking the green "Download" button below the slide after recording is completed.
  •  If using a digital voice recorder, rename the photo and audio files to be the same for easier matching when creating a DVD

Don't do any processing of files, uploading audios or burning DVD in the presence of the resident. These things should be done at home in preparing for delivery to the resident's family.

Create and Burn DVD for the Family of the Resident

You must be approved by HQ to do this work. If not send the resident's login email and password to This email address is being protected from spambots. You need JavaScript enabled to view it. and we will do this and mail the DVDs back to you for delivery. To view the minimum standards for approvale click HERE.

  1. Create and burn an archival DVD
  2. Place the DVD in a slim jewel case with the facility and your logo and/or contact information at the bottom of the cover.
  3. Call the person identified on the registration form as the main family contact to make arrangements for delivery, preferably in person. If delivery is not possible because the family lives out of town, follow up a few days after you send the DVD to offer further services.

Discussion with the Family of the Resident

When meeting the family it is desirable to to have internet access. If this is not possible, take a portable player or your laptop for showing  the resident's DVD.  This presentation is where the rubber meets the road. If you've done your job right, the family contact person will realize that they have received a priceless gift. Make sure you give kudos to the facility for providing this service.

  1. Explain LLP to the Family
  2. Show the the resident's archival DVD
  3. Ask if you can register the family contact person with their own Shoebox account and then link them to the resident's friends section. Use your affiliate link to register them while there if possible. This way if they upgrade in the future, you'll be credited and also you'll appear in their profile friends section too.
  4. Offer to set up Shoebox accounts for other relatives, as well,so they can share and comment on the resident's stories and with each other.  Provide Shoebox Profile Form.
  5. Make sure to orient the family contact person to the website and explain how to use the URL or Share feature to send the stories to the extended family and friends.
  6. Offer Continued Services
"I enjoyed my time with (name). I believe he/she has lots more to contribute to the family legacy either with more talking photos and life stories.  I can set up regular visits with her to help her continue in this key role--is that something you want to discuss?"

This is when you can present your add-on service which may consist of X number of 90-minute visits per month (minimum), at $___ per visit.
You should prepare your package and agree to the program right there when emotions are at their highest..

  1. UPGRADE TO ARCHIVE VAULT- The first order of business should be to upgrade the resident's Legacy Stories account to an Archive Vault, preferrably to the annual or lifetime options. "She will need this space to accommodate future content."     Once the program is established there will be clear opportunities to offer additional services such as:

        Scanning all the photos
        Transcribing recorded or handwritten stories
Turning photos into a coffee table book
Create a biographical hard cover book
        Conduct genealogical research
The key is to take this in baby steps. Legacy Matters first,  upgrade the account, periodic visits, additional products, all in due time.
